Participation: Participation in an Annual Meeting of the Montana Dental Association is by invitation. Spaces will be assigned on a first-received, first-served basis. The Association will try to ensure to locate competitive firms adjacent to each other; however, this is not guaranteed from the Association. All applicants for exhibit space will be required to complete the formal application-contract provided by the Association. Exhibit space contracts will not be binding in case of fire, strikes, riot, civil commotion, or any such unavoidable circumstances. Exhibitors shall assure the safety all property held by the Montana Dental Association, the Red Lion Colonial Hotel and the convention decorators, in failing so the mentioned groups will have all the legal rights to sue the violators.
Character of Exhibit: The Montana Dental Association reserves the right to decline or prohibit any exhibit which does not comply with the Montana Dental Association standards for acceptability of exhibits. Nothing shall be constructed, built, installed which does not fulfill the required criterion of federal, state and municipal laws, ordinances and regulations.
The Association will also have the right to restrict an exhibitor or any related person to a minimum space and time slot for exhibition. Along with this, public address systems and other sound equipment, the volume of which might create potential problems for other exhibitors, are strictly prohibited.
Facilities for exhibitors: All the exhibitors will be provided enough space for exhibition. Time slots to exhibitors will be allotted according to the policy of the Association, which is, providing each exhibitor ample time to provide basic information about its firm. Along with this, exhibitors are allowed to ask for special facilities which will be provided to them on payment. In such case, the exhibitor should inform the Association two weeks ahead of the meeting.
Exhibit booths: The association will install 55 exhibit booths which will be allotted to exhibitors on first-come first-served basis. Number of exhibit booths can be increased in case more exhibition parties register for space.
Exhibition hours: The exhibit area will be open Thursday from 9:45 a.m. to 5:00 p.m. and will be open Friday from 8:00 a.m. to 1:30 p.m. Exhibitors will be required to remove their logistics by 3:30 p.m. Friday.
Refreshments: Refreshments will be arranged all the three days of the meeting. All refreshments will be free of cost.
Sponsorship: Sponsorship for the meeting can be obtained till April 5, 2013. Interested companies can obtain a minimum bucket sponsorship of $1300 by filling online sponsorship application on the official website of MDA.
